Why Does This Matter?

Although behind the scenes, the Sunday Setup Team is an essential part of the Sunday Gathering running smoothly, and the broader ministries at Scots.

What is Involved?

One member of the team is scheduled for each Sunday.

The key responsibilities are:

  • Auditorium, Mezzanine and Kitchen reset
  • Create and print the A5 Sunday Gathering Bulletin
  • Office supplies check / pick up orders

You can come in anytime that suits you between Friday 10:00am (when the sermon outline and runsheet is finalised) and Sunday 10:00am.

However, liaise with Setup Team Coordinator to determine whether the Auditorium will be used on Friday or Saturday. This will affect some details of how you set up and when you can do it. e.g. if there is a wedding on Saturday, you would only be able to complete the Setup after they are finished.

Auditorium inspection and set up

  • Downstairs seating set up according to the yellow tape lines
  • Parents area: Chairs returned to yellow lines, mats for children in correct places
  • Platform: lectern, 2 stools and stage plants in place according to yellow tape markings
  • Cafe area: Tables are packed away, TVs in place
  • Any rubbish or lost property has been removed (mezzanine and ground floor area)

Let Admin know if users are not leaving the church as it should be so that we can provide feedback to them.

Bulletins and Bibles

Link to the A5 Bulletin template (ask Admin or Setup Team Coordinator for access).

The runsheet and sermon outline will be confirmed by Friday 10:00am.

Follow the Elvanto Runsheet for the Order of Service on the Bulletin.

The Setup Team Coordinator will send out the Sermon Outline (if there is one). Follow the instructions on the Bulletin template for formatting and spacing of the document. It should be A5 sized, double-sided on short edge. They may require folding in half, or cutting in half using the guillotine.

There are Bulletin template pages depending on what is needed each week

  • Order of Service + 1-2 page Sermon Outline (page 1-2)
  • Order of Service + Sermon Outline + Hub Questions (page 3-4)
  • Order of Service + 1 page Sermon Outline (page 6-7)
  • ‘Scots Over Summer’ Order of Service (page 10)

Typical week will require 80 Bulletins placed on the Welcome Table in the cafe area, and another 30 Bulletins left on the table at the Mezzanine.

If we are using the Bulletins for Hub, please collect any spares after the service and place them on the desk in the Office so that they can be re-used on Tuesday/Wednesday Hub night. 

Spread any promotional flyers that Setup Team Coordinator has advised on the tables also, e.g. Alpha Course, Easter Services, Christmas Services.

Check that there are adequate Bibles and pens available. There are extra stock of both in the Church Office.

Lord's Supper supplies

Setup Team Coordinator / Admin will advise if there is the Lord’s Supper. Please purchase from the supermarket as necessary. This will be reimbursed to you via the Elvanto Reimbursement Form.

Place these items on the kitchen bench on the Sunday we have Lord’s Supper:

  • Grape juice 500mL (or similar)
  • 5 packs of gluten-free crackers
  • 4 hand sanitiser bottles (can be found in the Church Office)

Check Church Office supplies and restock

Please assist Admin by making note of any supplies in the Church Office that need replenishing when they are low stock:
  • A4 (min. 5 reams) and A3 paper (min. 1 ream)
  • Dymo Label Roll (Check-in Team) 54 x 101mm (min. 6 rolls)
  • Printer toner for Brother MFC-J6740DW (min. 1 cartridge of each colour)
  • Printer toner for Brother HL-2460DW (min. 1 cartridge)
  • Retractable pens (blue/black) (min. 50 pens)
  • Sharpies permanent markers (min. 20 pens)
  • AA and AAA Batteries (min. 6 of each)
  • Whiteboard Markers (min. 6)
  • Whiteboard Cleaning Spray + Eraser
  • Staples (min. 1 pack)
  • Blutac / tape (min. 1 pack)
  • 3M Yellow Marking tape (min. 1 roll)
  • Scissors (min. 2)
  • Facial Tissues (min. 2)
  • Hand sanitiser (min. 4)
  • Handwash (min. 4)

Order first aid supplies and restock when delivered

Setup Team Coordinator

  • Manage rostering of Sunday Setup team member
  • Check for Auditorium booking via the Scots Events Google Calendar, let the Team Member know
  • Ensure Sermon Outline is submitted by Thursday COB
  • Set aircon schedule as requested by Admin e.g. for last minute external event on Saturday
  • Attend Friday morning Admin check-in meeting with Craig and Admin to confirm runsheet
  • Report any issues with alarm / cleanliness to Admin
