Hub Night Coordinator Job Description

Why do our Hub nights matter?

We want to see people grow in knowing God and living gospel-shaped lives in the context of genuine relationships. In a fast-paced, transient city, that kind of deep connection is often hard to find. Hub Nights bring our church family together in Hub Groups to open God’s Word and share life. It’s a space where the gospel is both taught through Scripture and caught through the example and encouragement of others.

Hub night roles are shared between the Hub Night Coordinator, Hub Night Logistics team and Hub Huddle team.

What a Typical Hub Night Looks Like

5:40 – 6:00 pm The Logistics Team opens up and sets up the space.

6:00 – 6:20 pm People arrive and eat dinner together (usually BYO).
6:20 – 6:30 pm The Hub Huddle Team leads Hub Huddle — a short time together as one big group, which may include interviews, announcements, or short gospel encouragements (Hub Huddle team prepares any slides needed).
6:30 pm Move to individual groups.
7:45 pm The Hub Group on Clean-Up begins washing up and tidying up tables.
7:55 – 8:00 pm Hub Groups wrap up and pack down their tables. The Logistics Team ensures everything is packed away properly.
8:00 pm Everyone leaves the church premises. The Logistics Team locks up the building and arms the alarm.

Punctuality and Timeliness: We love people by valuing their time, including starting Hub Night on time and finishing by 8:00 pm. It’s important to encourage people to leave by 8:00 pm so we can respect everyone’s time and wrap up the evening smoothly.

Hub Night Logistics

The Hub Night Logistics Team plays a vital behind-the-scenes role in making Hub Nights run smoothly and feel welcoming.

The Logistics Team works in partnership with the Hub Huddle Team and the Hub Night Coordinator to make sure everything runs smoothly.

When rostered on the Logistics team:

  • Arrive by 5:40 pm to begin setup. This includes:
    • Preparing the tea and coffee station (urn, mugs, tea box).
    • Setting up tables for dinner (including water jugs and glasses) and Hub Groups (typically 4–5 group tables and a few dinner tables).
    • Placing Bibles, pens, and Hub folders (from the office) on each group table.
    • Turning on the computer and TVs for Hub Huddle.
  • Open the gate and top glass doors by 5:55 pm.
  • From 7:55 pm, once Hub Groups finish:
    • Collect Hub folders and return them to the office.
    • Ensure each group has packed away their table (Wed).
    • Pack down any remaining items and reset the space as needed (Wed).
  • 8:00 pm, ensure the church is locked and secure:
    • Close and arm the top glass doors.
    • Lock the front gates.
    • Turn on the alarm system.

Hub Huddle

Hub Huddle helps people transition from their day, provides important updates, fosters a sense of belonging, and helps people connect, including for those exploring Christianity.

When scheduled as Hub Huddle person:

  • Keep an eye out for new people to Hub. Welcome them and introduce them to the Orientation Group leader or Hub Night Coordinator.
  • At 6:20, welcome people, creating a warm and friendly atmosphere.
  • Facilitate and lead Hub Huddle, ensuring it runs on time and fosters connection. This includes organising and operating slides (if necessary).
  • Lead or assist with the item spots within Hub Huddle (e.g. announcements, interviews, group prayers, etc.).
  • Key news items or events can be found on the Scots comms doc.
  • Be the point person for any questions about the night, referring to the Hub Night Coordinator for assistance if needed.

Hub Night Coordinator

The Hub Night Coordinator enables people to grow in knowing God and living gospel-shaped lives in the context of genuine relationships. By overseeing the evening and ensuring things run smoothly, we help create the kind of space where that growth can flourish. There is freedom and creativity in how the coordinator sees this happen. 

The coordinator doesn’t need to do everything themselves, but is responsible for making sure everything gets done. Tasks like setup, pack down, and running Hub Huddle are handled by the Logistics Team and Hub Huddle Team. The coordinator ensures those teams are supported and things run smoothly.

The Hub Night Coordinator’s responsibilities involve:

  • Own the overall leadership and coordination of the night.
  • Liaise with the Logistics and Hub Huddle Teams to ensure everything is prepared and running as planned.
  • Plan any Hub Huddle “item spots” (e.g. interviews, book reviews, short training) in consultation with the Hub Coordinator and the Hub Huddle Team.
  • Be the point person for unexpected issues or troubleshooting (e.g. tech not working, last-minute team absences).
  • Maintain and update this job description as needed.
  • Assign a Hub Group to clean-up each week using Elvanto.
  • Provide feedback, encouragement, and support to the Hub Huddle and Logistics Teams.
  • Ensure that the space, people, timing, and atmosphere all align with the purpose and values of Hub.
  • People walking in the building not involved in Hub should be politely invited to leave. If needed, close to the glass doors early.
  • Ensure the lockup procedure happens
